Serves as key administrative lead in the Office of Surgical Education for undergraduate, graduate, and post graduate medical education programs in the Department of Surgery. Serves as liaison between the affiliated faculty, educators, residents, fellows, and administrators. Oversee operations of OSE related to schedules, financial performance, and quality performance at primary sites and affiliated hospitals. Operations management responsibilities include but are not limited to oversight of educational coordinators, human resource related activities for OSE staff, establishment and implementation of regional policies and goals to achieve objectives, program development, and coordination of services for each of the affiliated hospital sites. Provides Department Chair, Program Director, Associated Program Directors and Senior Administrator with administrative and operational support in regards to the educational program. Responsible for personnel payroll, computer systems and telecommunications as it relates to the educational program of the Department of Surgery. Responsible for: All personnel of OSE Responsible to: Regional Chief of Surgery, Regional Program Director, Senior Administrator Essential Functions: In conjunction with the Program Director (PD) and Associate Program Directors (APD), plan and direct the administrative components of the General Surgery residency program for the regional Department of Surgery across the two main campuses of Georgetown University Hospital and Washington Hospital Center. These components include but are not limited to resident recruitment, resident licensure, certification of current training, resident compliance with all housestaff requirements, education schedules, examinations and resident/program evaluations. Ensure compliance with Flexibility in Training certification for the combined residency and compliance with all rules and regulations for the flexible rotations on which the residents will rotate. In conjunction with the Fellowship Directors (FD), plan and direct the administrative components of the accredited and unaccredited fellowships for the regional Department of Surgery across the two main campuses of Georgetown University Hospital and Washington Hospital Center. These components include but are not limited to fellow recruitment, fellow licensure, certification of current training, fellow compliance with all housestaff requirements, education schedules, examinations and fellow/program evaluations. Participates in curriculum development for the residency education programs, bringing current best practices and new educational approaches to the department for consideration/integration into the Department of Surgery residency/fellowship programs. Serves as a liaison/reference to other MedStar residency programs providing guidance, assistance and direction to junior coordinators. Prepares annual budgets for residency programs to include GUH/WHC, and affiliate housestaff budgets. Provides recommendations to annual department operating budgets for the Office of Surgical Education (OSE) to include staffing, operating expenses, equipment needs, and other educational resources. Oversees the Office of Surgical Education including staffing, budget requests, performance evaluations. Communicates regularly with PD, APDs, FDs, MedStar Graduate Medical Education (GME) leadership and Departmental leadership regarding OSE matters including but not limited to financial management of OSE, program and resident requirements, and oversight of OSE staff. Serves as liaison with PDs, APDs, GME, Georgetown University School of Medicine (GUSoM) Dean’s Office, and integrated teaching institutions to ensure timely and effective communication/coordination of activities related to resident and medical student programs. Maintains accurate and current data regarding Department of Surgery GME programs into New Innovations or other databases as required to comply with GME procedures and ensure accurate Medicare reporting. Participates in program accreditation activities including but not limited to site visits, entry of information as needed for continued ACGME accreditation, participation in any activity as deemed necessary for GME and institutional accreditation. Participates in the Internal Review/Self Study process by preparing all required/requested documentation, and assists in scheduling/logistics of this process. Maintains a working knowledge of all Residency Review Committee requirements in surgery and actively identifies areas of non-compliance. Prepares for, attends, and participates in OSE meetings including Program Evaluation Committee meetings, CCC, residency selection meetings, and others as appropriate, including preparing agendas, presenting agendas, materials, etc. Organizes, orders, and coordinates scheduling of the annual InService training exam for residents. Serves as liaison and point person for outside professional contacts to the residents with respect to career opportunities and requests. Develops and distributes surveys of applicants and of housestaff as deemed necessary by the program leadership. Sends, collects, and reviews all resident, faculty, and program evaluations as well as year end evaluation reports on each house officer. Implements Electronic Residency Application Service (ERAS) and assembles all application reviews for categorical and preliminary surgical resident applicants. At the instruction of the PD and APDs, makes the initial cut of applicants to the residency, prepares all documentation and schedules for the interviewing process. Oversees and hosts interview days. Assists the PD and APDs in preparation and submission of the rank list. Designs, distributes, and tabulates the post interview survey sent to all candidates on the rank list. Performs and oversees personnel management functions of the Surgical Residency program including but not limited to preparing resident appointment, reappointment documents, licensure verifications, letters of recommendations, etc. Plans and directs administrative component of all medical student education activities within the Department of Surgery including coordination and preparation of clinical and didactic education schedules and assignments. Oversees preparation, distribution, and submission of medical student evaluations with GUSoM. Serves as liaison with GUSoM, external rotation sites, Clerkship Directors.
